A Dublin 6 professional services firm specialising in Intellectual Property, are looking for a highly organised and meticulous Records & Data Administrator to join their Trademark team.

- Dublin 6 location, conveniently located close to the Charlemont Luas stop.
- Hybrid working, with 2 days per week on site.
- Flexible working hours between 8.00am and 6.00pm, Monday to Friday.

This is a records and administration-focused role for someone who enjoys working with information, systems and processes — and who genuinely takes pride in getting the detail right.
You will play an important role in ensuring that internal records, databases and files are accurate, complete and consistently maintained. You will work closely with our wider Intellectual Property team, helping to ensure that the information they rely on is always accurate and up to date.
You do not need previous Intellectual Property experience. We are much more interested in your ability to work accurately and systematically, spot errors and manage detailed information with care.
Key responsibilities
- Accurately entering, updating and maintaining information across internal databases and records.
- Checking information against source documents and identifying errors, discrepancies or missing information.
- Maintaining accurate client, matter and IP records and well-organised electronic files.
- Processing incoming information and correspondence and ensuring it reaches the appropriate team member.
- Preparing standard documents, forms, spreadsheets and correspondence using established templates and procedures.
- Assisting with file opening, closing, routine filing and other administrative processes.
- Preparing daily draft invoices and obtaining purchase order numbers where required.
- Providing occasional reception and general office administration cover.
- Using Microsoft Office and other internal and external software systems.
- Following established procedures and identifying opportunities to make processes more efficient and reliable.

You will be extremely organised, methodical and detail-focused, with a genuine pride in producing accurate work.
We are looking for someone with:
- Excellent attention to detail and a very high level of accuracy.
- Strong organisational and time-management skills.
- Confidence working with databases, spreadsheets and computer systems, particularly Word and Excel.
- The ability to work methodically through detailed information and spot errors.
- The ability to manage routine and repetitive tasks while maintaining a consistently high standard.
- A reliable, conscientious and discreet approach to work.
- The ability to prioritise, meet deadlines and work independently as well as part of a team.
- Good written and verbal communication skills.
Experience
Previous experience in an administrative, records, data management or document management role would be an advantage.
Experience within a professional services environment — such as legal, accountancy, financial services, insurance or another regulated or detail-intensive business — would also be useful.
Previous Intellectual Property experience is not essential. A degree is not required either. We are interested in relevant experience, aptitude and attitude.
