TITLE OF POSITION: Finance and Administration Officer (CO)
REPORTING TO: Finance & Administration Executive Officer
OFFICE: Dental Council 57 Merrion Square, Dublin 2
Job Purpose
General Office Management, maintaining all areas of Front of House and Accounts administration support.
Duties and Responsibilities
General office duties
- Answering/transferring/booking in calls, maintaining the [email protected] account,
- Reception desk duties
- Communicating and dealing with the public/profession e.g. responding to general queries and
- Providing information about retention fees, accounts, certificates, payment deadlines etc
- Maintaining high quality records in a thorough and organised manner
- Sign for any registered post, distribute all post to the correct departments, keep a record of
- Returned post, ensure all post is franked and brought to the post office when required
- Ordering and maintaining office supplies, liaising/coordaining with office maintenance
- Contractors and facilities requests for general office management
Accounts Administration
- Assist with issuing of retention fee letters, receipts, certificates
- Process retention fee payments for registrants’ annual retention fee
- Lodge cheques, bank drafts and cash payments
- Provide administrative support to accounts department to include drafting general
- correspondence, preparing reports, spreadsheets, database reports, issuing refunds and any
- other information as required
- Petty cash management and reconciliation
Support to Council
- Booking venues, accommodation and travel for Council members and Dental Council staff
- Meet and greet members on meeting days
- Ordering beverages/food for meetings
- Set up meeting rooms and general tidy up afterwards
ESSENTIAL REQUIREMENTS:
Each candidate must meet the following requirements at the time of the competition closing:

- Ability to maintain confidentiality at all times and operate in a discreet and professional manner
- Proficient in Microsoft Office, and other common office software for document preparation, scheduling, and communication, with practical experience in:
- Word – creating, editing, formatting documents and mail merge
- Excel – using spreadsheets for data entry, filtering, basic formulas and formatting
- Outlook – managing emails, calendars and scheduling meeting
- Possess the competencies required of a CO in the public sector Civil service Capability Framework
DESIRABLE ATTRIBUTES:
- Experience working within a statutory framework and to statutory deadlines.
- Experience working for a similar organisation.

EMPLOYMENT INFORMATION
Position Type
This appointment will be offered on a full-time permanent basis. A 6-month probationary period applies to this appointment.
Salary Scale:
The salary scale for the position is as follows.
CLERICAL OFFICER – PPC. First point on scale: €31,605
Entry will be at the minimum of the scale and the rate of remuneration in line with Government pay policy. Different terms and conditions may apply if you are a currently serving civil or public servant.
Holidays:
The annual holiday entitlement is 22 working days plus public holidays
