This global Financial organisation have an exciting opportunity for an enthusiastic Executive Assistant to support one of their Senior Directors in a new start-up division within the company Dublin office.
Main duties to include:
- Comprehensive and proactive diary and email inbox management
- Provide administration assistance for Director including room bookings, conference calls, meetings etc
- Arrange weekly/monthly meetings as required – prepare meeting packs as necessary
- Prepare Power Point presentations and assist on proposals/bids – liaise closely with internal departments such as Marketing. Tech, Finance etc
- Become involved in marketing initiatives/ event management, if and when required
- Organise team lunches, client entertainment
- General administrative duties to include processing expense claims, travel bookings; incoming and outgoing correspondence etc
- Become an expert on internal systems and maintain same; Analyse data generated from internal systems
- Liaise and build relationships with clients and internal divisions on behalf of the team
- Organise team lunches, client entertainment
- Assist with any other ad-hoc projects and duties as appropriate
Skills and attributes:
- Excellent interpersonal and team-working skills, a high degree of enthusiasm and adaptability
- Advanced PC skills including Word, Excel and PowerPoint
- Experience with organising Outlook calendar/ email inbox management specifically on behalf of others
- Experience in completion of high quality Power Point presentations
- Prioritising work, using time management and organisational skills.
- Be able to work under pressure.
- Excellent administration skills with an ability to work unsupervised on day-to-day duties and tasks
- Must possess an ability to multi-task with a strong attention to detail and a sense of urgency
- Proactively look for and take on tasks and provide regular feedback on status
- Reliability /flexibility
