A leading architecture firm is seeking a highly professional, proactive, and discreet Executive Assistant / HR Administrator to support the Managing Director while overseeing key HR administrative functions within the practice.
This dual role requires excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities within a creative, fast-paced, project-driven environment. You will act as a trusted right hand to the Managing Director while ensuring HR processes run efficiently and effectively across the business.

Key Responsibilities
Executive Assistant Support
- Provide high-level confidential administrative support to the Managing Director
- Manage complex diary scheduling and calendar coordination
- Coordinate internal and external meetings, including agendas and follow-up actions
- Organise travel arrangements and assist with expense management
- Prepare reports, presentations, and documentation to support firm initiatives
- Take minutes and circulate updates for management meetings
- Organise internal and client events, including hospitality arrangements
- Assist with document preparation, printing, filing, and handling architectural drawings
HR Administration
- Draft employment contracts and support the onboarding process for new hires
- Maintain accurate employee records and HR documentation including leave tracking and performance reviews
- Coordinate HR processes including maternity leave administration and payroll liaison
- Act as a point of contact for employee HR queries while maintaining strict confidentiality
- Assist with updating HR policies and procedures
The Ideal Candidate
- Proven experience in an Executive Assistant, Personal Assistant, or senior administrative role
- Previous HR administration experience would be highly advantageous
- Exceptional organisational and multitasking abilities
- Strong communication and interpersonal skills
- A proactive and professional approach with high levels of discretion
- Strong Microsoft Office skills and the ability to produce high-quality documentation
