This is a 12-month fixed term contract supporting a dynamic leadership team within an office of approximately 55 colleagues across three divisions.
This role will work closely with chief of staff ensuring the CEO operates efficiently in a fast-paced and high-performing environment.
The ideal candidate will bring excellent judgement, exceptional organisational ability, and the confidence to work with senior leadership, while managing competing priorities with discretion and professionalism.

Role & Responsibilities:
- Provide comprehensive, high-level administrative support to the Chief Advancement Officer.
- Manage and coordinate a complex and evolving diary, including planning, prioritisation, and responding to meeting requests.
- Act as a gatekeeper and first point of contact for the CAO, screening calls, emails, enquiries, and correspondence.
- Prepare correspondence, agendas, briefing materials, and presentations as required.
- Prompt and support the CAO in tracking key priorities, deadlines, and follow-ups.
- Maintain accurate records of stakeholder engagement in the CRM system.
- Provide note-taking support for meetings where required.
- Manage monthly expenses and credit card reconciliation.
- Assist with ad hoc IT queries and general administrative tasks.
Stakeholder Engagement:
- Liaise with the Office of the Provost to coordinate diary scheduling between the Provost and the CAO.
- Manage travel arrangements for TDA-organised trips, including flights, accommodation, and detailed itineraries.
- Coordinate meetings with senior college leadership and internal stakeholders.
- Draft personalised communications on behalf of the CAO, working closely with the Chief of Staff.
- Ensure priority issues are communicated and progressed with relevant stakeholders.
- Support collaboration across TDA teams to advance philanthropic initiatives and ensure effective information flow.
Experience & Qualifications:
- Third-level qualification or professional administrative qualification.
- Minimum five years’ experience in a senior administrative role, including at least three years supporting senior stakeholders or executives.
- Proven experience managing complex diaries, high-level meetings, and confidential correspondence.
- Demonstrated ability to handle sensitive information with discretion and professionalism.
- Experience working in a fast-paced environment supporting senior leadership.
- Advanced proficiency with Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint).
- Experience with CRM systems is desirable.
- Knowledge of major gift fundraising or development environments would be advantageous.
