About the Role:
As part of a small, dedicated team, you will play a key role in ensuring the seamless delivery of meetings, conferences, and hybrid events.
Key responsibilities include:
- Acting as the first point of contact for clients, providing a professional, welcoming service and anticipating their needs.
- Answering client queries over the phone and email.
- Managing room bookings, set-ups, and logistics, coordinating with facilities, IT, and external suppliers such as catering, couriers, and parking arrangements.
- Supporting video conferencing and hybrid meetings, ensuring audio-visual systems and ClickShare technology are fully operational.
- Overseeing print room operations, assisting clients with confidential printing and photocopying needs.
- Supporting client access to stenography and transcription services with partner providers.
- Coordinating catering services, from in-house options to external bookings or conference dining, and managing refreshments in the self-catering kitchen.
- Providing turnkey administrative and reception support, including hospitality, client assistance, and general operational tasks.
- Maintaining accurate client and booking records in CRM systems and supporting outreach to new and existing clients.
- Supporting the Centre Manager with the coordination of essential business-winning proposal submissions.
- Assisting with marketing and digital content to promote the Centre’s services.
About You:
- 2+ years’ experience in a client-facing, front-of-house, or administrative role in a professional or corporate environment.
- Excellent interpersonal skills and a polished, professional presentation.
- Strong organisational skills with attention to detail and a proactive, service-oriented mindset.
- Proficiency in Microsoft Office and ideally experience with CRM or room booking systems.
- The ability to multitask, prioritise, and remain calm under pressure
- Experience coordinating AV, video conferencing, catering, or meeting-room technology is a plus.
