Administrative Officer – Regulatory Body (Temporary 6-Month Contract)

Location: Dublin 2 (Hybrid - Onsite 2 days per week)
Contract: Temporary - 6 Month Contract

Salary: €31,118 pro rata

About the Role
We are seeking an organised and detail-oriented Administrative Coordinator to join our client’s Document & Case Management team within a regulatory environment. This role provides essential administrative and coordination support to ensure the smooth processing of regulatory cases and documentation.

You will be responsible for case creation, scheduling, documentation coordination, and supporting the progression of applications within strict national and European timelines. This is a back-office, administrative role requiring accuracy, organisation, and strong communication skills.

Key Responsibilities

  • Provide end-to-end administrative support including case creation, scheduling, document control, filing, and query management.
  • Assist with project-related tasks such as clearing backlogs and processing product data updates in internal and databases.
  • Support in the processing of assigned applications, including national and EU procedures, renewals, variations, and scientific queries.
  • Ensure effective coordination of assigned cases from allocation through to final issue.
  • Monitor progress and track deadlines to ensure adherence to strict regulatory timelines.
  • Update and utilise internal workflow systems and relevant European regulatory databases.
  • Respond to incoming queries, ensuring timely issue resolution and professional customer service.
  • Provide general administrative support including scanning, copying, handling post, and assisting with reception when required.

Experience & Qualifications

  • Minimum of one year’s experience in an administrative or coordination role.
  • Strong planning, organisation, and multitasking skills.
  • Excellent attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) and experience with databases.
  • Proven ability to meet deadlines and work towards targets.
  • Ability to work independently and collaboratively within a team environment.
