Receptionist and Executive Assistant

Our client, a corporate head office based in Dublin 18 (On Green Luas Line), are looking for a Receptionist and Executive Assistant professional to join their team on a permanent basis. The successful candidate will have a friendly attitude with the ability to multitask to serve as the face of the company at front desk. The salary for this role is €35,000 - €40,000 DOE.

Reception

Front Desk

  • To take ownership of the administration duties involved in the running of a busy reception
  • Manage a multiple line phone system
  • Point of contact for catering requirements for inhouse meetings and events
  • Organise couriers, incoming and outgoing post

Stock Control and Purchasing

  • Responsible for stock control and purchasing; point of contact for vendors and suppliers and liaising with company departments to determine purchasing needs
  • Maintain office areas such as the print station and storerooms

Executive Assistant

A fundamental part of this role will be supporting a number of executives across the business

  • Provide administrative assistance, and preparing communications on behalf of the executives
  • Maintain comprehensive and accurate records regarding weekly and monthly reports
  • Organise meetings, including scheduling, sending reminders and organising catering when necessary
  • Curating corporate events, including liaising with the relevant internal parties, scheduling, issuing invites, securing venues, booking meals, private function rooms, entertainment
  • Manage the executives’ calendars, including making appointments and prioritising the most sensitive matters
  • Make travel arrangements and preparing visa expense reports
  • Prepare monthly board packs
  • Documentation support and other ad hoc duties

The Successful Candidate Should:

  • Have a minimum of two/three years of front office experience
  • Have the ability to act with confidentiality, discretion, and flexibility
  • Be creative, with strong attention to detail
  • Have excellent IT skills and be competent in Microsoft applications including Word, Excel, Outlook, PowerPoint. Having experience of Microsoft Publisher, Forms and Power Automate is desirable.
  • Have effective communication skills at all levels
  • Be a multitasker who is comfortable working to tight deadlines
  • Be organised, efficient and team focused
  • Be proactive and capable of working on own initiative
